Technology and systems review

Fixed scope, 2 to 4 weeks

A clear, plain-language picture of where your technology actually stands: what you use, what it costs, where it depends on one person's memory, and what is quietly at risk. We sit with your staff while they work; the findings reflect the real day, not the org chart.

You end up with: a findings and recommendations document your board or committee can read without translation, and a prioritised plan you can act on with or without us.

Selection and rollout

Scoped per engagement

Choosing and implementing the systems you actually need: practice management, client records, intake, rostering, reporting, or the unglamorous plumbing between them. We bias toward well-supported, maintainable tools over impressive ones, and we configure them around how your team already works.

You end up with: working systems configured for your organisation, with your data migrated, your accounts in your name, and nothing held by us.

Adoption and training

Runs alongside rollout

The part most projects skip. We train your staff in the context of their actual tasks, at a pace they can absorb, and we stay until the new way of working is a habit rather than an instruction. Training is delivered and observed, not just left as a PDF.

You end up with: staff who use the system because it helps them, named in-house owners for each tool, and a team that can induct the next hire themselves.

Handover and documentation

Included in every engagement

How every Kapha engagement ends, and available on its own if a previous provider left you with a black box. Plain-language documentation a new staff member can follow, credentials and ownership transferred to you, and a check-in after we leave to make sure it stuck.

You end up with: an organisation that runs its own systems, documentation you own and can update, and a standing offer: if something we built breaks because we built it badly, that is on us.

Being found is a system too

Digital presence: the way your organisation is found, understood and trusted. Same approach, same exit. Shared without naming the organisation; we will introduce you directly once references are agreed.

A community organisation came to us with a website that looked respectable and quietly worked against them. Visitors could not find the services they needed, search engines could not read the site well enough to send anyone, and every small change went through an external developer.

We rebuilt the experience around the three questions people actually arrive with, restructured the content so it ranks for the searches their community really makes, and wrote it so AI assistants now surface the organisation when people ask for help in its area. Newer practices like generative engine optimisation sit alongside classic SEO here; being recommended by a chatbot is becoming as important as being found by a search engine.

Then, as always, we handed it over. Their team writes and publishes updates themselves, and the structure keeps working without us touching it.

Which channels actually fit your organisation and your community, what to say on them, and a content plan with templates your staff can run without us. We build the voice and the rhythm around the people who will keep it going, not around a campaign that ends when we leave.

You end up with: a documented strategy and content calendar your team publishes themselves, named in-house owners, and optional scoped support at the start if you want a hand; never an open-ended retainer.

Search and AI discovery

Fixed scope or ongoing, your call

Structuring your site and content so people, search engines and AI assistants can all find and recommend you. Classic search optimisation and the newer generative engine optimisation sit side by side here: being surfaced by a chatbot is becoming as important as ranking in a search result.

You end up with: a site that ranks for the searches your community really makes and gets recommended by AI assistants, plus a plain-language guide your team can keep applying as you publish.

Rebuilding the experience around the questions people actually arrive with, and writing content that both reads well and converts. We bias toward tools your team can edit themselves over anything that routes every change through an outside developer.

You end up with: a website your team edits and publishes themselves, your accounts and domains in your name, and nothing held by us.

Brand and visual identity

Scoped per engagement

A coherent visual system and plain guidelines, so everything you put out looks like one organisation rather than five. Practical and modest: enough to be recognisable and consistent, not a rebrand for its own sake.

You end up with: a logo, templates and brand guidelines you own and can hand to any designer, with the source files in your accounts.

Presence work is handed over the same way our systems work is: documentation, training and ownership transfer to you. Where ongoing help genuinely makes sense, it is scoped, priced and reviewed, never an open-ended retainer.
